Frozen Phoenix Terms of Service ("Agreement")
Quotes + Concept Art
After receiving a reply to your quote the total cost given will be acceptable for 3 months. After the 3 month mark has passed you must resubmit your quote. This is just in case any prices are updated within that time period. Once you send your retainer fee (explained section 3) the quote is locked* and none of these prices will be changed.
You may add and remove features and markings by resubmitting your quote if you have not yet made your down payment. Once your quote is locked, adding or removing features may result in additional costs. You are responsible for checking over your quote and fixing any mistakes. Additional questions may still be asked by us after you submit your quote form in order to complete the quote.
In order to obtain a quote, a 2-3 view reference sheet is required. 3 views are preferred as this will give us the most accurate representation of your character from all angles. Anything unclear on the reference must still be included in your quote description! This includes things such as:
-Nose, tongue, pawpad, and other important feature's colors
-Gender
-Name
-Species
(Anything that is complex or incredibly specific will NEED to be portrayed visually.)
This will be the time you will make any large changes - We will be following this concept art as a
reference. The more descriptive you can be the better!
If you do not have a specific design that you are looking to have made, and would like to give us artistic liberty over the design, please specifiy this in your quote! We are more than happy to take on these types of commissions, and will work with you to find a design that is to your liking.
*A locked quote is a quote that has been
accepted as a commission, given the first down payment and added to our
queue.
Character Representation
Please understand that in commissioning us you are purchasing our 3D representation of your character. Do not expect an exact replica of the reference art that you provide. All of our examples are shown in out gallery to give you a feel for our style, if you feel like our style may not suit you then we probably aren't a good match for each other. During the Work in Progress stages we will do our best to assure total satisfaction through our representation. If we feel any changes must be made to your character to best portray them in our style we will inform you of this. This is why it is extremely important to be as detailed as possible when submitting your quote form!
Payments + Shipping
Larger commissions (Over $400) require a 30% non-refundable retainer fee. This "fee" does count towards your final cost, it is just in place to insure your spot and allow us to begin the long and involved process of obtaining your materials. Smaller commissions ($400 and under) must be paid for upfront before it is started. This is to insure your spot on our queue!
Amount of payments will be determined privately with the commissioner to find out what works best for both them and us. Work on the commission will not begin until it is fully paid off.
Shipping costs are NOT included. They will be an additional charge, calculated upon the completion of your commission. Additional insurance will be added for the full value of your item, this will come at an additional cost. Signature confirmation will be required.
The commission will not be shipped until shipping is paid for.
We are not responsible for any damages/losses caused by the postal service during the transit of your fursuit. We will supply you with a tracking number via USPS, after that it is up to you to keep up with your package.
Payments currently only accepted through PayPal via invoice.
Age
This applies to both commissioners and reference art. All commissioners must be 18 years or older to purchase from us.
Reference art, however, must be PG/Censored as we DO NOT create "mature" creations and it is extremely unprofessional/unsettling to work from mature artwork. If you are looking for such a costume, please look elsewhere. Altering a costume we have made or using it in any "mature" setting will void your warranty and result in you being added to our blacklist. We will not add additional zippers for "bathroom purposes". Not only does such an addition send the wrong message, but it is incredibly unsanitary, so please do not ask.
Refunds and Repairs
All sales are final. Once you receive your fursuit we will not refund you. We will work with you to fix anything that is a result of an error on our part. This means you MUST accurately communicate markings, measurements, etc. We will not attempt to fix anything major that is an error on your part, it is your responsibility to maintain proper communication with us on such matters. As an alternative, you might try to sell your fursuit after arrival if you decide to not keep it or work with us to perfect it for whatever reason.
Any immediate alterations needed must be brought to our attention within 72 hours of receiving the costume to assure we can put it back at the top of our queue. After the 72 hour mark, you may be subjected to wait longer as we most likely have people on the waiting list behind you. Attempting to alter things yourself, or having friends attempt to alter things may void your warranty. PLEASE contact us with any concerns to avoid this. If any major alterations are made to your costume by anyone other than us you will be added to our blacklist and will be kindly asked to refrain from participating in things such as group photos. We only wish to portray our own work through things like this, not the work of others.
If you choose to cancel a project before it is finished you WILL NOT be allowed to keep what is finished. We will then reserve the right to keep it and re-sell it. You will not be refunded the retainer fee, or any money that has been spent on materials for your order. This is to insure that we are compensated for any materials bought or time spent on your project. You also may have to wait for your refund, as we are people with bills to pay just like you. So please be patient. Cancellations will result in you being blacklisted from any future business with us including commissions, sales, raffles, etc.
Wait Time + WIP

If for some reason you wish for your concept art to not be posted here, please let us know ahead of time and we will make arangements.
When your suit is started you will be given WIP pictures whenever a significant milestone has been reached. Please do not share these without permission.
When we need your opinion on something involving the suit we will ask before changing it.
Modifications may be limited depending on progress.
Any foam work will not be fixed once the mask is furred as that could cause major damage to the base. Please alert us of any concerns with foamwork while in the foam or duct tape stages.Furring will not begin until we have your approval on shape.
DO NOT BE AFRAID TO ASK FOR ANYTHING TO BE CHANGED, BUT DO NOT WAIT UNTIL LAST MINUTE!
As of right now we will not accept deadlines! Sorry if this causes any inconvenience!
Overseas commissions are taken on a case-by-case basis (we are located in the US), so keep that in mind!
Wait time also applies to us waiting on you. If we have to wait for measurements, DTD's, etc. from you for too long you may be pushed to a lower priority while we await the required supplies/information. Please clarify with us what it is that we will need from you in order to complete your project. Projects are completed much quicker if we get these things before/at the very start of your project.
Duct Tape Dummy

Our dummies will need to be very strong and include the half foot and wrist "straps" as shown! The seams will also need to be strongly put back together before we receive it! PLEASE DO NOT CUT YOUR DUMMY IN HALF! Any dummies that are received that have been incorrectly assembled can cause the bodysuit to fit incorrectly. We may request that you re-do it if this is the case. This is for both of our convenience.
This is Art
This is not a mass produced toy or college mascot costume. All projects are made to be as durable as possible, but this is still art. Please treat it as such.
Please also keep in mind that these are all hand-crafted custom costumes, therefore at least slight variation between pieces should be expected. If you have any questions regarding the care of your costume please do not hesitate to ask us.
We WILL NOT recreate a previously made costume for you unless you are the owner of the costume in question. The characters we build are the intellectual property of their respective owners and will be treated as such. We will also not create copyrighted characters on commission.
Liability
We will not be held liable for any personal injury or property damage sustained while wearing our costumes. Please keep in mind that these costumes often affect visibility, stability, and/or dexterity. Your safety is your responsibility while wearing our work. Things like having an out-of-costume spotter, being mindful of your limits, and using general common sense are all things that should be applied while wearing one of our costumes. Please do not participate in roughhousing, swimming, operating a vehicle or machinery, contact LARP, or any other strenuous or otherwise ill-advised activities while wearing one of our costumes. Should word of one of our costumes being used in such a manner reach us, the owner of the costume will have their warranty voided and will potentially be added to our blacklist.
DANCING: We are aware that dancing in costume is a widely practiced sport. If you choose to use your costume for dancing PLEASE be mindful of your limits while doing so! Please also be aware that costumes used for dancing will wear out faster than costumes used for easygoing recreational use. We do not recommend dancing in costumes with fragile parts, parts that are detachable, parts that are heavy, large horns, or large wings. Doing so may result in damage to the costume and would be considered to be damage caused by carelessness and would not be covered by your warranty.
Allergy Warning!
We own a dog are in constant contact with other dogs and cats (as well as some other small animals. Please inquire if any animal is of concern.). If this will cause a major problem please consider commissioning someone else for your safety.
We do, however, live in a 100% smoke-free home!
Pictures!
Not only do we supply pictures of your finished product to add to our portfolio, but we may request to re-post your pictures! Credit to you and the photographer will be given! We always love seeing pictures and videos of our creations so please do not be afraid to contact us just to send one in!
